Why can a coordinator not see results?
Use this troubleshooting article when a coordinator can access My Effectory but cannot see the expected survey results. Work through the checks below in order.
Before you start
A coordinator role alone does not provide result visibility. The coordinator also needs access to the relevant groups in the survey, and the results must be released. Confidentiality requirements can still hide results.
1. Check the coordinator role
Confirm that the user has the appropriate coordinator role for the actions they need to perform. A role determines what the user can do in My Effectory, but it does not by itself grant access to survey results.
For an overview, see Coordinator roles in My Effectory and Platform permissions per coordinator role.
2. Check Results access for the survey
Open the Results access settings of the affected survey and confirm that the coordinator is linked to the correct group. Coordinators only see the groups they are linked to and the groups below them in the structure.
- If only some groups are missing, compare the coordinator’s group links with the groups they expect to see.
- If another survey shows different access, remember that Results access is configured separately for each survey.
For instructions, see Results access settings.
3. Check whether a project-level change reached the survey
Group coordinator assignments are managed at project level and are automatically applied to surveys created within that project. However, project-level changes are not applied to a survey from two hours before it launches.
- For a survey that launches in less than two hours, update access in the survey’s Results access settings.
- For a running or completed survey, add or remove coordinators in the survey’s Results access settings.
- A survey-level change affects only that survey. It does not update the project-level setup or other surveys.
For more information, see Linking group coordinators manually.
4. Check Results release
Having Results access does not automatically make results visible. Confirm how the survey results are configured for release.
- Response rate only: coordinators with access can see the response rate, but no survey results are shared.
- Release to everyone: results are shared with all users who have access.
- Phased release to selected users: selected users receive access at different times. Confirm that the coordinator is included in a phase and that the applicable release date has arrived.
For full details, see Results release settings.
5. Check confidentiality requirements
Even when the coordinator role, Results access, and Results release are configured correctly, results can remain hidden if a group does not meet Effectory’s confidentiality requirements. This prevents individual responses from being traced.

What the coordinator sees |
What to check |
|
Can access My Effectory, but sees no results |
Coordinator role, survey-level Results access, and Results release. |
|
Can see the response rate, but not results |
Results release. The survey may use Response rate only, or the coordinator’s release phase may not have been reached. |
|
Can see some groups, but not others |
The groups linked to the coordinator in the survey’s Results access settings and the confidentiality status of the missing groups. |
|
A recent project-level change is missing |
Whether the change was made within two hours of launch or after the survey started. If so, update Results access for the survey. |
|
Can see results in one survey, but not another |
Results access and Results release for the affected survey. Survey-level settings do not automatically apply to other surveys. |
Still cannot see the expected results?
Record the project, survey, coordinator, affected group, and what the coordinator can currently see. Share these details with your Effectory contact or Helpdesk so the configuration can be investigated.
