How your data is used for Effectory surveys
If you’ve been invited to take part in an Effectory survey, you might wonder where and how your data is used. This article walks you through what kind of data Effectory handles, how it’s handled, and why you can be confident that your privacy is always protected.
What type of data does Effectory handle?
Your organisation provides Effectory with basic employee data so surveys can be set up correctly. This may include things like your name, email address, and information about your team, department, or location. Sensitive personal data, such as religion or ethnicity, is never collected or stored. In fact, My Effectory actively prevents uploading sensitive data by issuing a warning if such information is added.
How is the data imported?
Your organisation’s coordinators prepare the data file, which usually comes from your organisation's HR system and contains only the basic, non-sensitive information needed to set up the survey. They are often supported by an Effectory Customer Success Manager (CSM) to make sure everything is set up correctly and securely. The data is then imported into our platform, My Effectory, where it is used to create participant groups, send survey invitations, and analyze survey results. For more about groups, see Participant groups explained.
How is your privacy protected?
Effectory treats participant data with the highest level of care:
- Data security:
Survey data is processed in line with strict privacy regulations, and Effectory holds recognised certifications that demonstrate our commitment to data protection. Learn more in our articles about our commitment to privacy and data security.
-
Data Processing Agreement: To ensure GDPR compliance, Effectory and your employer have a formal Data Processing Agreement in place. It defines how we process and protect your data, including what data is provided, how long it’s stored, and with whom it may be shared. For more details, see Effectory's commitment to privacy.
-
Limited access: Only the people in your organisation responsible for coordinating the survey (and Effectory staff who support them) can access the data for setup and support purposes.
Why this matters
Trust is key to meaningful feedback. Knowing your data is handled responsibly allows you to share your views openly, helping your organisation learn and improve.
