Technical setup checklist for My Effectory
Effectory requires a few technical preparations to ensure smooth delivery of emails, surveys, results, and coordinator access. Please share this checklist with your IT team.
If you're navigating to the Getting ready tab on the Home Screen in My Effectory, you'll find a task called Assign tasks to your IT team. This article is designed for IT teams and contains all the information needed to complete that step. It's structured as a to-do list to keep the process clear and efficient.

Checklist for IT: technical setup for Effectory
1. Set up email delivery
To make sure all emails (including invitations, reminders, results notifications, and coordinator updates) reach the right people:

Set rate limiters to at least 300

2. Allow access to required web addresses
Employees and coordinators need to access various Effectory domains. Make sure these are accessible through your network:

3. Check browser settings
Make sure the following settings are enabled:

Third-party cookies: must be enabled for full platform functionality.

Local storage: required for saving progress and preferences in surveys and the portal.

Web content filtering: ensure filtering does not block resources from Effectory domains.

Trusted sites: add Effectory domains to the trusted list in your browser or security settings.
4. Optional: set up Single Sign-On (SSO)
Using Single Sign-On makes it easier and safer for users to access My Effectory without needing separate login details. It’s the most seamless way to manage access across your organization.

Effectory supports Azure AD (Microsoft Entra ID), OpenID Connect, SURFconext

Effectory does not support SAML or ADFS 3.0 or below

5. Optional: configure Multi-Factor Authentication (MFA)
Multi-Factor Authentication (MFA) helps prevent unauthorized access to My Effectory, even if someone’s login credentials are compromised. It adds an extra layer of protection to your environment, especially for coordinators handling sensitive data.
Some organizations prefer to manage MFA through their own identity provider or reduce login friction for specific user roles. That’s why we offer the option to disable it for certain roles.

It’s also enabled for other roles but can be disabled by a Central Coordinator in the MFA settings

6. Optional: set up HR system integration
While not required, we strongly recommend setting up an HR system integration to streamline your survey setup and keep your data up to date.
An HR system integration connects your organization's HR Information System with My Effectory. This connection enables a seamless and continuous flow of up-to-date employee data, providing a strong foundation for your employee listening journey.
Setting up an HR system integration makes your survey process faster, more reliable, and more secure. By syncing employee data automatically, it removes the need for manual updates, helps avoid errors, and keeps your dataset consistent. It also supports stronger data protection through encrypted transfer and access controls.
