Allowed e-mail domain settings

Central Coordinators in My Effectory can manage which e-mail domains are permitted for assigning coordinators. This feature helps you ensure that only approved company e-mail addresses are used throughout the platform.

 

How it works

The e-mail domain settings can be configured by Central Coordinators in My Effectory > Organization > Security > Allowed e-mail domains.

Important:

  • These settings apply only to coordinator e-mail addresses and do not affect employee e-mail addresses in the employee data.
  • They apply only when creating or linking new coordinators.
  • Existing users will not be blocked or removed.
  • This setting also affects coordinator suggestions and automatic linking—My Effectory will not suggest or automatically link coordinators with blocked e-mail domains.

 

Allow all e-mail domains (default setting)

By default, My Effectory allows all e-mail domains except for well-known free providers (see the list below). This helps prevent unauthorized access while ensuring that company domains remain the standard for coordinator linking. If a user tries to link a coordinator using a blocklisted domain, they will receive a warning message and will not be able to proceed.

Restrict registration for specific domains (custom setting)

Organizations that prefer stricter control or that want to allow e-mail domains that would otherwise be blocked can use this setting to define a custom allowlist. This setting ensures that only the specified domains will be accepted for coordinator linking—even domains that are normally blocklisted.

 

How to customize the allowed domains

 

To add or remove domains from the allowlist, a Central Coordinator can:

  1. Log onto My Effectory and go to Organization > Security.
  2. Access the Allowed e-mail domain settings.
  3. Select the option Restrict registration for specific domains.
    > Empty fields will appear where you can specify the e-mail domains to allow.
  4. When done making changes, click Save to apply the changes.

To remove a previously entered domain, simply click the trash bin icon next to the domain name.

Note: Make sure to enter the domains correctly! Special characters are not allowed, and there's no need to include the @ sign when entering a domain.

 

Suggested domains

When setting up the allowed domains, My Effectory provides domain suggestions based on the e-mail addresses of existing coordinators.

 

Best practices

  • Use company e-mail addresses: To maintain security and professionalism, we recommend assigning coordinators using their corporate e-mail accounts.
  • Review your settings regularly: If your organization updates its e-mail policies or merges with another company, revisit your allowlist and blocklist settings to ensure they remain relevant.
