From Team scan results to action

Summary

The team scan helps teams to improve their team’s dynamics and to determine unused potential. Once the results of the scan are in, it is important to discuss them with the team in order to take appropriate action. In this article you will learn how to go about starting a team’s discussion.

Team meetings after a team scan 

Make sure that prior to the meeting, everyone has had a look at the results. Moreover, it is useful to have access to the team scan results during the meeting, so that you can also look at the results together. 

Meeting Set-up

You will need about two hours to complete the four steps suggested below in one go. You don't have two hours? In that case, regard steps 1 and 2 in an initial meeting and schedule another meeting to discuss step 4. Step 3 can be tackled independently by subgroups in preparation for the second follow-up meeting. 

Step 1 (20 mins): Exploring 

Give everyone the opportunity to briefly speak: What outcome was most striking for you and why? 

Step 2 (30 mins): Choosing 

As your starting point, use the "top three areas for consideration" that you as a team have identified. Then work together to answer the following questions: 

  • Did step 1 lead to new insights that make you want to change/expand the top three? 

  • What characteristic(s) are you as a team not yet demonstrating? And what areas for consideration does this imply? Do you want to add these points to (or trade them in for) your top three with your own areas for consideration? 

Finally, work together to choose the three most important points from your list. Choose only up to three to keep things manageable; it can also be fewer than three. Create subgroups for each point chosen. Do this by asking: Who wants to elaborate on which point and commit to it? 

Step 3 (35 mins): Elaborating 

Allow the subgroups to read up on the chosen point. You can do this by dividing the following tasks among the group:

  • Consider the tips/solutions we have mentioned as a team
  • Consider which of the tips & best practices on offer are suitable for the team

As a team, discuss what most speaks to you from the tips/solutions and best practices. Also discuss any ideas/additions you may have in mind. Then arrive at a proposal for the team: What are we going to do to improve on this point? Try to make this as concrete as possible (what, when, how, by whom etc.).

 

Step 4 (30 mins): Solidify 

Allow the subgroups to read up on the chosen point. You can do this by dividing the following tasks among the group: 

  • Consider the tips/solutions we have mentioned as a team 

  • Consider which of the tips & best practices on offer are suitable for the team 

As a team, discuss what most speaks to you from the tips/solutions and best practices. Also discuss any ideas/additions you may have in mind. Then arrive at a proposal for the team: What are we going to do to improve on this point? Try to make this as concrete as possible (what, when, how, by whom etc.). 

Tip!

Improvements are easiest to achieve if the team regularly assesses their progress. For this reason, you should start planning when to conduct the next team scan while you are discussing the results from the current scan. The team scan requires only a small investment of time, so it's ideal to come back to it on a frequent basis — by this, as a team, you'll be able to gain insight into the improvements you're making. This will help you to gradually optimize team dynamics and improve performance.
