In My Effectory, users can be assigned different types of coordinator roles based on their level of involvement with the platform. These roles determine access levels, influencing the settings, features, and information coordinators can view and manage.
Assigning coordinators accurately and promptly can have a great positive impact on your platform experience. By doing so, you can empower, for instance, line managers and team leads to launch surveys, analyze results, and even assign other coordinators in turn. This decentralizes your employee listening strategy, allowing your organization to gather feedback more detailed and meticulously.
Coordinators in My Effectory are categorized into three levels:
Let's look at each of these roles' different characteristics!
Organization coordinators
Organization coordinators can operate on the account level. They can perform actions throughout the account regardless of the projects available. There are two types of organization coordinators:
- Central coordinator: They have unrestricted access to all settings and projects in the account. This includes:
- Managing employee data.
- Setting up group structures.
- Assigning other Organization, Project, or Group coordinators.
- Managing project participants.
- Creating surveys in any project and viewing the results of any group.
- Adjusting account or project settings.
- Employee coordinator: Employee coordinators are assigned by a Central coordinator. They have full access to the organization's employee data or HRIS integration information. This role alone does not grant access to projects, including viewing results or launching surveys.
How to add Organization coordinators
To add a new Organization coordinator:
- Log into My Effectory.
- Navigate to the Organization tab.
- Select Organization coordinators.
- Click on + Add coordinator in the top-right corner.
- Fill in the details of your new coordinator.
- Select which of the two roles you want to assign them and their language.
- Click on Send invite.
> The user will receive an e-mail notification.
Note: A green tick appears next to the coordinator's name once they have activated their account. You can resend an invitation or revoke an Organization coordinator's rights using the three dots to the right of their name.
Project coordinators
A Project coordinator has full access to one or more specific projects. Within their projects, they can:
- Manage participants.
- Set up group structures.
- Assign other Project or Group coordinators.
- Create surveys and view the results of all groups.
Project coordinators do not have access to any employee data.
How to add Project coordinators
To add a new Project coordinator:
- Log into My Effectory.
- Go to your project from the Projects tab.
- Click on the + Add icon in the top-right corner of the page.
- Use the search bar to find the right employee by name or e-mail.
> You can select an employee from your employee data or click on + Add new user. - Select Send invite.
> The user will receive an e-mail notification.
Note: A green tick appears next to the coordinator's name once they have activated their account. You can resend an invitation or revoke a Project coordinator's rights by using the three dots to the right of their name.
Group coordinators
Group coordinators are assigned to specific groups of respondents in your project's group structures. There are two types of Group coordinators:
- Local coordinator: Local coordinators can be assigned by a Central or Project coordinator. They can create and launch surveys for the groups they have been linked to and can also follow their response and view their results. They can also add other Group coordinators to those groups.
- Results access coordinator: Results access coordinators can be assigned by a Central, Project, or Local coordinator. They can follow the response progress of the teams they have been linked to while surveys are live. Once the results have been made available, they can also view the results of those teams. They cannot create surveys.
