Warnings during your data upload

Starting point When importing employee data into My Effectory, you may encounter warnings in the import process. This article provides detailed information about the four different warnings you may run into and how to resolve them.

 

There are four different warnings that can appear during your data upload:
 

 

Multiple worksheets found

Why? The Excel file you are trying to upload contains multiple worksheets.
 
How to resolve? Select the correct worksheet in the drop-down menu, click on Continue, and you will be able to proceed with the upload process.
 

 

Inconsistent date values

Why? The Excel file you are trying to upload contains mixed value types within the same column. Mixing strings (text) and date formats in Excel can cause compatibility issues.
 
How to resolve? There are two ways to resolve this warning:

 

Change file format (recommended)

This issue can only occur when trying to upload an Excel file. If you want to ensure no value type errors can occur, we recommend uploading your data in .CSV UTF-8 format instead of Excel. CSV UTF-8 files eliminate the risk of incompatible date formats altogether!

To save an Excel file as CSV UTF-8:

  1. Open the file in Excel.
  2. Go to the File tab and choose Save As.
  3. Select CSV UTF-8 (comma delimited) (*.csv) from the file type drop-down list.
  4. Click Save.

 

Adjust your Excel file

Alternatively, you can go back to your Excel file and make sure only one date value type is consistently used throughout all the variables (e.g. in the columns Birthdate, Date in service, etc.). Select Upload another file, and try the upload again.

The new upload is missing previously added columns

Why? The employee data file you're uploading onto My Effectory does not contain all the variables that are currently included in your employee data in the platform.

How to resolve? If you removed the variables from your employee data file because you no longer want them to be part of your employee dataset, you can use the checkbox to select them and then confirm by clicking Delete columns. You can then proceed with the rest of your upload normally.

If you do not want to remove the missing variables, you may ignore the warning message and continue the upload by clicking Keep all columns. Your employee data will be updated with the data from the file you're uploading, but the missing columns will remain untouched.

 

Note: Variables used for the setup of a group structure cannot be deleted! If you want to delete one of these, you must first remove them from the group structures in any of the projects they are being used in.

 

 

 

 

Sensitive data found

Why? Effectory should not receive any sensitive personal data of employees. However, potentially sensitive data was detected in your employee data file. This may include:
 
  • Religious or philosophical beliefs
  • Racial or ethnic origin
  • Political opinions
  • Trade union membership
  • Genetic data, biometric data
  • Health data
  • Sexual orientation
  • Criminal convictions and offences
How to resolve? If this is intentional, you may proceed with your import. Alternatively, you can remove the columns in question. We recommend removing the sensitive data from your file to ensure data privacy and protection.
 

 

Duplicate Employee IDs

Why? There were duplicate values found in your Employee ID data field. Employee IDs must be unique, and employees with duplicate values in this field cannot be imported.
 
How to resolve? You may choose one of the following two options:

  • Resolve now: You will be shown all the instances of employees with duplicate IDs. For each ID, select the right employee to include in your import. The remaining ones will be excluded.
  • Resolve later: You will be instructed to download an Excel file containing only the employees to which the warning applies. You will then be able to continue the import of all other employees (the duplicates will be excluded). You can resolve the errors with the duplicates in the file you downloaded and upload them separately at a later moment.
Note: The option you choose will apply to all duplicates. You may not resolve part of the duplicates immediately and part at a later moment.
